How it works

This volunteer sign up sheet template opens on Event, Date and Who to ask lines and 12 lines of Job, Time, Name, and Phone or email. Write the jobs and shifts first; empty lines show what still needs a helper.

Write the jobs before you post it

Press Print the sign up sheet, then fill in the Job and Time columns by hand: Set-up, 8:00 to 9:00, and so on. Helpers sign beside the shift they can do. On one sheet the jobs are already printed, from Set-up to Clean-up, two lines each.

Sheets for a class

Classroom helpers by weekday has Monday to Friday down the side with Morning and Afternoon columns. The field trip sheet lists chaperones with a phone number and their child. A year of class events lets families choose ahead.

  • Three people on every shift? One sheet has Helper 1, Helper 2 and Helper 3 columns.
  • The hours log is one sheet a helper: Date, Hours, Job and Initials, with a Total hours line.

Questions and answers

What should a volunteer sign up sheet include?

The event, the date and who to ask at the top, then a line for each job with its time, the helper's name and a phone number or email. The opening sheet prints those and nothing more.

How is this different from a plain sign up sheet?

Here every line is a job with a time, so an empty line is a shift nobody has taken. A plain sheet is a numbered list of names.

Is there a sheet for a parent group's committees?

Committees, a meeting sign-in and a membership list are on the PTO sign up sheet page. This page covers the jobs and shifts of one event, classroom helpers and field trips.

Can volunteers sign up online?

No. The sheets are paper, filled in by hand. The page asks for nothing and stores nothing.
